Terms and Conditions | The Seerah Retreat

1. Introduction

Welcome to The Seerah Retreat. These Terms and Conditions (“Terms”) govern your participation in The Seerah Retreat, organized by Timelenders. By booking and participating in the retreat, you agree to comply with and be bound by these Terms. If you do not agree with any part of these Terms, please do not proceed with the registration and contact our support staff for further information.

2. Booking and Registration

  • Eligibility:
    Participation is open to individuals over the age of 16. Families and children of any age are also welcome to join, but children must be accompanied by a Mahram guardian if female.
  • Registration Process:
    To reserve your spot, you must complete the registration process on our website, our sales office or on WhatsApp support line, Once registration is completed, a confirmation email will be sent to you with the details of your booking and payment instructions.
  • Payment:
    Full payment is required to confirm your participation. All payments must be made before the retreat begins. Failure to complete payment may result in cancellation of your reservation.

3. Pricing and Payment

  • Package Prices:
    Package prices are listed on our website. The prices cover accommodation, meals, transportation, Umrah visa processing, guided Ziyarat, and spiritual workshops. Airfare is not included unless otherwise stated.
  • Currency:
    Prices are listed in Saudi Riyals (SAR). Conversion from SAR to other currencies will be based on the exchange rate at the time of payment, not at the time of booking.
  • Payment Methods:
    Payments can be made via bank transfer, credit/debit card, or other payment methods listed on our website. All payments must be received in full to confirm your booking.
  • Installment Payments:
    If you opt for an installment plan, the first payment must be made at the time of booking. The remaining balance must be paid by the due dates specified in your confirmation email.

4. Cancellation and Refund Policy

  • The cost already incurred in Hotel Bookings, Logistics, Transportation will be charged and deducted from the amount paid and the balance will be refunded.
  • On-ground package will not be refundable after November 15, 2024.

Please note and understand: We have a limited seats program, if you cancel at any given time, we will charge you for the cost incurred.

  • Refund Process:
    Refunds will be processed within 14 business days of receiving your cancellation request.
  • Cancellation by Organizers:
    In the unlikely event that The Seerah Retreat is canceled by the organizers due to unforeseen circumstances (e.g., natural disasters, political unrest, or global pandemics), participants will receive the remaining amount of the cost already incurred in Hotel Bookings, Logistics, Transportation as these amounts are not refundable in any circumstances.

5. Travel Requirements

  • Visa and Travel Documents:
    All participants are responsible for ensuring they have a valid passport (with at least 6 months of validity after departure) and obtaining a Saudi Arabia Umrah visa. Our team will assist in visa processing, but it is the participant’s responsibility to provide accurate and necessary documentation.
  • Airfare:
    Airfare is not included in the retreat package. Participants are responsible for booking their own flights. We recommend using our travel partner for discounted airfare rates.

6. Health and Safety

  • Medical Condition:
    Participants are responsible for ensuring that they are medically and physically fit to participate in The Seerah Retreat. If you have any pre-existing health conditions or require special medical attention, please inform the organizers at the time of registration.
  • Health Insurance

Health Insurance is included in the Umrah Visa. Furthermore, Timelenders or The Seerah Retreat team will not be responsible for any medical expenses incurred during the retreat.

  • Vaccinations:
    Participants must comply with Saudi Arabia’s vaccination requirements for entry. Any health-related entry restrictions must be adhered to.

7. Conduct and Behavior

  • Code of Conduct:
    Participants are expected to conduct themselves with respect and consideration toward other participants, organizers, scholars, and the local community. Any disruptive, inappropriate, or unlawful behavior may result in removal from the retreat without refund.
  • Group Etiquette:
    Participants must follow the retreat schedule and respect group dynamics. Cooperation during Ziyarat, workshops, and travel is expected. Participants who consistently delay or disrupt group activities may face consequences, including removal from the retreat.

8. Intellectual Property

  • Content Ownership:
    All content provided by The Seerah Retreat, including spiritual workshops, presentations, printed materials, and digital resources, is the intellectual property of Timelenders. Participants are granted a limited, non-exclusive right to use these materials for personal, non-commercial purposes only.
  • Restrictions:
    You may not modify, reproduce, distribute, transmit, display, perform, publish, or create derivative works from any materials provided during the retreat without prior written consent from the organizers.

9. Limitation of Liability

  • Retreat Risks:
    While every precaution is taken to ensure participant safety and well-being, Timelenders and The Seerah Retreat organizers shall not be liable for any injuries, illnesses, delays, or other damages incurred during the retreat. Participation in activities, including travel to sacred sites, is voluntary and at your own risk.
  • Travel Delays or Cancellations:
    Timelenders is not responsible for any delays or cancellations of flights, transportation, or accommodations due to unforeseen circumstances. Participants are encouraged to arrange flexible travel plans and insurance to cover such events.

10. Privacy and Data Protection

  • Personal Information:
    We take your privacy seriously. Personal information collected during the registration process is used solely for retreat purposes, including booking accommodations, arranging visas, and communication about the retreat.
  • Data Protection:
    We are committed to complying with data protection laws (GDPR, etc.). Your data will not be shared with third parties unless necessary for retreat operations (e.g., hotels, transportation providers).

11. Changes to the Retreat Itinerary

  • Itinerary Modifications:
    The Seerah Retreat reserves the right to make changes to the itinerary if necessary. Any significant changes will be communicated to participants in advance. We will do our best to maintain the integrity of the experience.
  • Unforeseen Circumstances:
    In the event of unforeseen circumstances (such as weather disruptions, political unrest, or natural disasters), we reserve the right to adjust the retreat schedule and itinerary as necessary to ensure participant safety.

12. Force Majeure

Neither The Seerah Retreat nor Timelenders will be liable for any failure to perform its obligations under these Terms due to unforeseen circumstances, such as acts of God, natural disasters, wars, pandemics, or government restrictions.

13. Final Provisions

  • Changes to Terms and Conditions:
    Timelenders reserves the right to modify these Terms and Conditions at any time. Any changes will be communicated to participants via email or our website. Continued participation after such modifications will constitute acceptance of the updated terms.
